An Archive is not a Library

Sometimes I am reminded that family historians can make assumptions that others understand what we mean when we refer to records and archives.

 

I was talking to a man at a bar recently and with a drink in hand he asked me to educate him a bit about this genealogy pastime of mine.

It was when I had got to the bit where I was explaining about records and how they are kept in archives and other repositories and he said to me:

“So when you go to one of these libraries, how do you know if they have the records that you are looking for?”

That was when I realised that, in his mind, he saw an archive as just a sort of library, with loads of dusty records sitting on the shelves just waiting for us to go in browse a little and then find our ancestors within the files.

Notwithstanding that some archives share a building with a library (I am thinking of Portsmouth and Birmingham to name just two) I had to explain that they were really very different beasts. It is complicated by some major libraries having collections of records that are relevant to our ancestor research – the likes of universities, the British Library and so on –  but generally a library and an archive are not the same thing.

This conversation reminded me of something I had read in Chapter 9 of Tracing Your Pre-Victorian Ancestors by John Wintrip. His explanation is that:

‘Archives resemble retail catalogue showrooms, in which customers use a catalogue to identify the items they require, which are then fetched from storage areas by members of staff.’

I so loved the analogy of browsing a sort of genealogical Argos where we select a record collection in which to research our ancestors. Inevitably I used it in my conversation and immediately saw a realisation cross the face of my friend at the bar.

I gave him an example of a recent visit I made to The National Archives. I used the Discovery catalogue to look for a particular person, whom I was researching, and found that TNA held his 1919 divorce papers. I was able to select it from the online catalogue, book myself a seat at a table in the reading room and then wait for the archive staff to bring the file of documents to be collected from the locker.

By now examining the bundle of papers I was able to understand that my subject had been divorced by his wife as he would not return home to her after fighting at the Somme in the First World War. Who knows the exact human details of the case, but the court ordered him to return to her or his marriage would be legally ended. The result was that he refused and so they were divorced; but happily they remarried at a much later date.

By also ordering up his service papers I discovered that, as he waited to be demobbed, he was being treated for depression as a result of his experiences in the war.

So my drinking acquaintance now understood that it was not simply a case of browsing down the shelves of a library, where all the books are arranged alphabetically by subject to find what we required, but that records were catalogued by reference in an archive and that we order up what we want from the strong rooms in which they are held.

How to handle documents at the archive

I found myself at The National Archives this week renewing my reader’s ticket which had expired.

The process requires researchers to fill out a form online at a computer terminal and then watch a 5 minute video about how to handle TNA’s documents. I was surprised that, even to someone who thought that they knew all that stuff, the presentation taught me something!

It was how to examine a document with a seal attached that stopped me in my tracks. It was pointed out that the process for looking at the other side of the seal required the reader to deftly turn the entire document over, while turning the seal at the same time. The video suggested asking a member of staff for help, if the process was to daunting for the researcher to carry out themselves.

There were many other tips on how to unpack, look at and repack documents without damaging them – including how to deal with those tagged together with, what I recall from my days in stationery retailing, as ‘Treasury tags’.

When I finally got to the reading room, to collect my bundles of documents and start making my exciting discoveries from within the records that have not made it online at any of the subscription sites, I was fascinated to see that not everyone heeds the advice. In a display cabinet, by the service point, was a set of horrifying photographs of how some documents had been returned. It made me wonder at how unthinking some people can be. Having, presumably, extracted the benefit for them selves from viewing the papers, they had little concern as to the preservation of these records for anyone else.

Tithe maps allow you to pinpoint your ancestors from our records. They show the boundaries of fields, woods, roads, rivers and the location and shape of buildings. The detail recorded within the maps and apportionment records will show you how much land they owned or occupied, where exactly in the parish it was, what the land was used for and how much tithe rent there was to pay.

The Tithe Commissioners maps are now housed in The National Archives (TNA). Due to their age and the materials used the original maps are often too fragile to handle. These were microfilmed in 1982 and some of the maps have deteriorated over the last 30 years. The first stage of the project is the release of these as online images.

There are over 12,000 main maps plus thousands of update maps as the boundaries of fields changed over time.

The second stage will be the delicate conservation and digitisation of the original colour maps.

“Tithe records are a rich resource for family historians as they cover owners and occupiers of land from all strata of early Victorian society.

These maps can be three to four meters in length by several meters in width and have gone through a multiple levels of digitisation and processing so that the huge maps can load instantly, even on a mobile phone.This fantastic resource was created in the period from 1837 to the early 1850s as a result of one of the largest surveys into the usage, ownership and occupation of land in England and Wales since the Domesday book.”

Parish Chests are fascinating; their documents are treasures.

I was reading the National Archives Blog about the exhibition in the Keeper’s Gallery of some ancient Storage Chests.

One of these magnificent chests, although not made specifically for this purpose,  was used to carry the Domesday survey around.

Another is a Muniment Chest, made to hold church documents and money.

I have been fascinated with these exibits from the first time that I spotted them on a visit to the National Archives many years back. I recall vividly peering at them in the low lighting of the museum at TNA and marvelling at their construction.

Of course many of our English and Welsh parish churches have their own version of these caskets, as from the time of the reformation it was decreed that all parishes were to have a chest with three locks for alms to be stored. These evolved to include the records produced by the Parish and thus we have the concept of Parish Chest Records.

On my travels around Leicestershire, I recently came across this example in St Helen’s Church, Ashby-de-la-Zouche.

Finding Ships That my Merchant Navy Ancestors Sailed

I have a bit of salt in my blood, especially on my paternal side. This week I’ve been using the Crew List Index Project (CLIP) website to find out a bit more about some of them.

CLIP was set up to improve access to the records of British merchant seafarers of the late 19th century and has gathered the largest database of entries from crew lists.

While I was not successful in tracking down a crew list for the particular ship I was looking at this week I did manage to use their finding aids to flesh out a bit more information on a couple of vessels that my family have sailed.

Selecting the Vessels by Name I was able to find the Official number for the  S.S. Dolphin and then I could  find her in a list that gave me her date and place where she was built and the address of her owners.

You need to tie a ship down to its official number as there may be several vessels of the same name, as is the case with the Dolphin. Also a ship may change its name in its lifetime but the official number is unique to it and never changes.

I found a reference to the Dolphin in a document in The National Archives which I will take a look at the next time I visit Kew and the TNA.

Using Google Books I was able to call up a Lloyd’s Register of Shipping but this time I could find no entry for this particular Dolphin. I have to say that I am only just starting out on this research and it is turning out to be fascinating. Lives of the First World War

Just heard this news from brightsolid…

IWM (Imperial War Museums) and brightsolid, the online publishing and technology arm of publishing group DC Thomson, are working in partnership to create Lives of the First World War – an innovative and interactive digital platform to mark the First World War Centenary.

 

Lives of the First World War will hold the stories of over 8 million men and women who served in uniform and worked on the home front. It will be the official place for communities across the world to connect, explore, reveal and share even more about these people’s lives.

 

This innovative platform will bring fascinating records from museums, libraries, archives and family collections across the globe together in one place. The team behind Lives of the First World War are working with national and international institutions and archives to make this happen.

 

Over the course of the centenary, Lives of the First World War will become the permanent digital memorial to more than 8 million men and women from across Britain and the Commonwealth – a significant digital legacy for future generations.

 

The platform will go live later this year, in time for the start of centenary commemorations from summer 2014. Further information, including a short film about Lives of the First World War can now be found at www.livesofthefirstworldwar.org.

Merchant Navy Records for WWII have arrived!

Those of you with merchant seamen in the family are probably aware that only some records have been kept by the National Archives. Luckily for me the ones that I needed to access, for my father who had been a WWII merchant seaman, were kept there.

I was asked by my father, over Christmas, if I could find out for him exactly when it was that he went to sea, back in the second world war. He was a very young man and can remember having his first birthday, in the service, at sea one May in the 1940s.

With the passing of the years he has a sketchy recollection of his training period and can not remember exactly how long it was before he joined a merchant ship on the convoys across the Atlantic and also sailing in the Pacific to Australia and New Zealand.

The ship he joined acted as a troop ship in the war, armed with a single gun manned by an army contingent. It had been built as a passenger liner in peacetime and was fast having four screws.

In my last article I referred to my trip down to The National Archives at Kew in search of his service records where I had to wait for the staff to view the documents and blank out any personal details  before I could view a copy. The process took longer than the time I had and so they had promised to post me the copies when it had been completed.

Well the documents from TNA arrived this week and I now have my father’s merchant seaman’s’ pouch and his wartime service records as he sailed the oceans!

At Kew I had been advised to look at the series BT 382/1799 which was the Registry of Shipping and Seamen: Fifth Register of Merchant Seaman’s Service (CRS 10 forms). Part 1: European origin mainly. Series 1, mainly of European origin, mainly 1942-c1965. Thon Hans Christopher to Thorne N B. for his records.

And also to request a search for him in BT 382/2981 being Part 2: European origin mainly. Series 2, mainly of European origin, 1946-1972. Thorburn A to Thorougood J G.

 

This has indeed given me the dates of his engagements and discharges for each voyage and so I can now tell him the first date that he went to sea in his war service.

As to the most interesting document from my point of view? This would be his British Seaman’s Identity Card, complete with a contemporary photograph of him aged 19, from his seaman’s pouch as held by TNA.

My Dad is in The National Archives!

I was doing a search on the National Archives new Discovery search engine to see what I could find on my dad’s time in the Merchant Navy during World War II.

One hit was for his seaman’s pouch, R271022 THORNE J B 20/05/1925 PAIGNTON DEVON and it indicated that I could see the document for free at The National Archives. Now it did say that I would need a Reader’s Ticket to do this and as it has been quite some years, since I last went to Kew, my old one had expired.

So I figured that I would take a trip to Kew in Richmond, get registered for a new Reader’s Ticket and see what the document revealed.

The process of registering for a reader’s ticket requires you to bring two forms of ID one to prove your address and another to prove your name. You also have to do a short tutorial on the computer that educates you about the correct handling of their documents and a multiple choice questionnaire. It certainly isn’t something to worry about and if you get the answers wrong the computer shows you the correct answer before you move on.

Once I was registered, had my photo taken and issued with my shiny new card I went to order the documents and some others that may refer to his service record.

While the TNA website says that with a reader’s ticket you can order the record to be available for when you arrive or you can just order the record when you arrive there is a slight problem.

With these sort of records if it is not your own then it has to be looked at by a member of staff and national insurance numbers and other “data” have to be redacted in a copy that would be made of the document and this process would take some time as there were not enough staff to do it immediately.

As it turned out by the time I had to leave Kew the copies had not been brought up and so I left The National Archives without seeing them and providing my postal address for the staff to post it on to me.

So just a warning that this is the policy of TNA and I may post again when I get the photocopies in the post should there be anything of interest to family historians in them.

NonConformist in my English Family Tree

Like me you may have gone back up the branches of your English Family Tree to find that some of your ancestors became nonconformists, that is they didn’t worship in the Established Church of England or have their children baptised within it and when it came to being buried they chose to have a ceremony conducted in a different Christian tradition.

This week I have been using the resources of TheGenealogist.co.uk’s BMD Registers to look at images taken from RG4 at the National Archives. These are registers (authenticated by the Non-Parochial Registers Commissioners) of births, baptisms, deaths, burials and marriages. They cover the period from 1567 to 1858. To find out more about them have a look on TNA’s website, but suffice to say that I have been able to use them effectively to fill in gaps when my forebears didn’t appear in the C of E parish registers.

One way of being alerted to possible non-conformity in a line is where you can only find your ancestor’s marriage in the Parish church. From 1754, and the introduction of Lord Hadwicke’s Marriage Act, most of the people of England & Wales were required to marry in the Church of England. For this reason you may discover that your ancestor’s wedding is in the parish church’s registers, but theirs and their children’s baptisms and burials are not. If this is the case then you should make a search of the non-conformist’s records for the area.

A difficulty can often arise when the chapel in question did not have its own register. This could occur when the chapel was served by an itinerant minister, responsible for a circuit of chapels in the area. In this case you would need to try and find out the name of the minister and the other chapels in his care.

Most of the surviving Congregationalist registers up to 1837, and some for the Baptists, Methodists, Presbyterians and Unitarians were surrendered to the government in 1840 or 1857. These are now held at The National Archives in mircofilm series RG 4, 5, & 8, and it was the first of those that I had been looking at on TheGenealogist.co.uk site.
